Adding Classification Labels to Selected Pages

Place a legend such as CONFIDENTIAL on the intended pages and resolve page-selection errors.

A classification label adds visible text, such as CONFIDENTIAL. It has its own page selection, independent of exhibit stamps and Bates numbering. It does not redact content, restrict access, or seal a filing.

Choose the text and pages

  1. Open Bates & Labels → Classification label and select Enable classification label.
  2. Choose a preset or enter Primary Text and an optional second line. Use the wording appropriate to your matter.
  3. Under Apply to, choose all pages, first only, last only, or Specific pages.
  4. For specific pages, enter a selection such as 2, 4-6. These are page numbers within each source document, before contents or divider pages are inserted.
  5. If documents need different selections, open Set pages by document. For each file, keep the shared setting, omit the label, or choose its own page selection.
  6. Use Check placement to inspect pages that should and should not have the label. Prepare the set, then review the finished export before downloading.

Check the result

Confirm the exact text, page coverage, and position. Include at least one page inside and one page outside a specific selection. Check every document with an exception; two files with the same name can still have different settings.

Fix a common problem

  • A page selection blocks stamping: read the named document and error. Every requested page must exist in the document using that selection. Shorten the shared range or give the shorter document its own setting.
  • A label appears on too many pages: check both the shared setting and Set pages by document. A document exception can override the shared choice.
  • A replaced or newly added file behaves differently: review its page settings explicitly. Do not assume an exception from the removed file applies to the replacement.
  • Documents need different wording: wording and appearance are shared within the set. Prepare separate sets for different legends.
  • You want labels off everywhere: turn off Enable classification label. To omit one document only, use its page exception.

Document-specific exceptions are saved with the job, not reusable presets or browser defaults. Changing a selection does not alter an earlier downloaded PDF. Use Make a change to prepare a revised version.

Match the applicable order

Follow your matter's order, not a preset name alone. For example, section 5.2(a) of the Northern District of California's standard model protective order addresses page legends and identification of protected portions. Selecting a whole page in ExhibitPrep does not identify particular portions within that page. The model is an example, not an order automatically applicable to your case.
